Whenever we convert listings, we copy the data we need and paste it to a new document. The reason is twofold. First, if anything happens to our data, we still have the original. Secondly, you don’t want extraneous text such as a description of the list or instructions on updating your entry.

Steps to convert using Tables,

1. Copy and paste text you need to convert to a new document

2. Highlight the text to convert

3. From Word’s Table menu, select Convert | Text to Table

The Convert Text to Table dialog box appears.

4. In the number of columns: field, select the number of lines that make one record. If you have a blank line between records, add 1.

5. Keep the default entry for Separate text at Paragraphs.

6. Click OK.

Word will convert your text and present a table such as the one below.

7. To get your info into Excel, highlight the table columns you need and press Ctrl+C

8. Open a new worksheet in Excel.

9. In cell A1 press Ctrl+V and paste you data.

Tweaking the Excel Data

Although your data copied, you probably want to convert the last column into 3 columns. These would represent the city, state and zip code.

Sometimes all your cities are one word. Other times, you get cities with two or more words. In this case, you want to first break this column apart after the comma that separates state from zip code.

1. Click the column you wish to parse such as C

2. From the Data menu, select Text to Columns. This will start the Convert Text to Columns Wizard.

3. On Step 2 of the wizard, select the Comma checkbox for your Delimiter. Excel will refresh and you can see how the column will break in the Data Preview section.

4. Click Finish.

Once you’ve split these columns you may notice your new Column D starts with an extra space. This is OK as we’ll do one more Text to Columns conversion, but use a Space as a delimiter instead of the comma. This will result in three columns. The first column will be blank as it represents that leading space before the city name. You can delete this blank column.

5. The last step is to insert a row at the top and place in your column headings.

Between these two methods, you should be able to convert most text listings in Word. There may be some adaptations you need to make. For example, you may have entries that have an extra line showing an Apartment number or Suite. Depending on the quantity of these irregular entries, you may want to copy them off a separate document and handle after your main conversion. Or, you may want to add the apartment info the end of line 2. It’s your list so you get to define the rules. We just don’t want you doing a copy and paste of each line into Excel.

The first step in this process is to add a record delimiter. This is the item Excel will look for to separate each row.

1. Copy the text you wish to convert and paste it to a new document.

2. Turn on Paragraph marks using the Standard toolbar button or Ctrl+Shift+*

Notice how two paragraph marks exist between each record. If your last record doesn’t show tow, you might want to add a line at the end. We’ll substitute a unique character as a record delimiter. I like to use the tilde ~ sign, but you can use any uncommon character. Be careful not to use a character that appears in your list.

3. Go to the top of your document. (Ctrl+Home)

4. From the Edit menu, select Find…

5. Click the Replace tab

6. Click the More button at the bottom. Your dialog will now show additional options.

7. Click the Special button.

8. Select Paragraph Mark from the pop up menu. Repeat this step.

9. Enter in the symbol you wish to use for your record delimiter such as a tilde.

Your Find and Replace dialog should look similar to the one below.

10. Click Replace All.

11. Click Close.

Microsoft Word will give you a count of how many replacements it made. Don’t worry that your formatting looks off and various lines look combined.

Defining the Fields

The next part is to define our fields which will be placed in Excel columns. Each record had 3 lines which represented: Name, Address and City, ST and Zip. In this example, we’re going use a comma to separate these fields. We can parse the names and state in Excel later.

1. Go to the top of your document.

2. From the Edit menu, select Replace.

3. Your Find and Replace dialog will have your previous values. Remove one of the paragraph marks sets in the Find what: textbox.

4. In the Replace with: textbox, clear out the tilde and enter a comma.

5. Click Replace All

6. Click Close.

Breaking Apart the Records

Your document probably looks worse, but don’t worry as to create you often need to destroy. Part of this may be word wrap and part of it is our formatting. The next steps will put it into perspective.

1. Go to the top of your document

2. From the Edit menu, select Replace.

3. Your Find and Replace dialog will have your previous values. Remove the paragraph mark in the Find what: textbox and type in a tilde.

4. In the Replace with: textbox, clear out the tilde

5. Click Special

6. Select Paragraph Marks from the pop up menu

7. Click Replace All

8. Click Close.

If you have extra commas or paragraph marks on the last line, you can delete them. If you’re really fastidious and don’t like the space before the State, you can do another search and replace. Personally, I would do this in Excel with ASAP Utilities which is a free add on.

Saving the File

Your document should now have 1 record per line with the fields separated by a comma and ending with a paragraph mark. There will not be a comma between state and zip code.

1. From the File menu, select Save As

2. In the Save As dialog, enter your file name

3. In the Save as type: drop down menu, select Plain Text.

4. Word may display a File Conversion dialog with a warning that all formatting will be lost. Don’t worry and click OK to accept the default values.

Pulling the File into Excel

The last part is to import our Microsoft Word text file into Excel.

1. Open Excel

2. From the File menu, select Open

3. In the Open dialog, change the Files of Type: entry to Text Files

4. Point to your .txt file.

5. Click Open

6. The Text Import Wizard should start. Keep the default values and click Next.

7. In Step 2, change your Delimiter from Tab to Comma. The screen should adjust to show the fields in columns.

8. In Step 3, you can change the data format for each column or click Finish to accept General format.

Final Tweaks

Chances are you will want to do some minor tweaking. As example, you probably want to add column labels. Also, if you have US addresses, you may want to split the last column that has the State and Zip code combined. You may also want to split the name column into first and last names. In our example, this is easy as a space separates the first and last name or the state and zip code.

To parse a column into multiple columns,

1. Highlight your column

2. From the Data menu, select Text to Columns…

3. Click the Next button on the Convert Text to Columns Wizard

4. In the Delimiters box for Step 2, select Space

5. Click Next

6. Define your data format.

(Note: For zip codes, you may want to change the data format to Text if you have zip codes starting with “0”.)

While these steps may not work exactly for your list, they should provide the basis for creating the records in Microsoft Word. Your list may be slightly different or include additional items such as email addresses. Either way, you could use similar steps to create a document that Microsoft Excel can interpret. In Part 2, we will use tables to accomplish a similar result.

What I feel is the transfer from “Access to Excel” is fairly common compared to “Excel to Access”, as most Microsoft Office users are accustomed to Microsoft Excel than Microsoft Access.
The primary purpose of Microsoft Access is that of a database management system and therefore, dosen’t provide the unique features that Excel gives.

Transfering data from an Excel spreadsheet to an Access table takes only a few simple steps.

1. Open a blank Access database.
Click on File >> Get External Data >> Import.

2. A dialog box will open (figure below) prompting you enter the name of the file.
Type the name of the file.
The important thing here is to select the file type as Microsoft Excel.
Click Import.

3. Clicking Import from the previous step launches tthe Import Spreadsheet Wizard (figure below).
The Worksheets in the Excel file are displayed in a list(worksheet named “info” in the below fig). The data from the worksheet is also displayed in a grid below the list.
Click Next.

4. The next step is a really useful one. Here, you can specify whether the first row in your worksheet can be used as field names for the Access table.
Check the “First Row Contains Column Headings” check box if its required for you.
Click Next.

5. Select the destination table for the data (New in my case as I am exporting to a blank Access database).
Click Next.

6. The next window lets you to specify information about each of the fields you are importing.
You can also avoid importing a field by selecting it and checking the “Do not import field” box.
To import all the fields as is, just click Next.

7. Select the field that will act as a primary key (unique key) in the Access table.
Click Next.

8. Type the name of the destination table.
Click Finish.

9. A new table will be created in your Access database.
Double-click the table to view the data.

Microsoft Word allows users to select text vertically as well.

The following figures show examples of Horizontal text selection and Vertical text selection respectively.

To achieve a vertical selection, users must Press and Hold the ALT key and drag your mouse downwards to highlight the wanted text.

1. Open a blank text file.
2. Type copy /b *.mpg FullMovie.mpg
3. Save the file with a .Bat extension.
Let’s say you saved the text file as Joiner.Bat.
4. Now Copy and Paste this Joiner.Bat file in a folder which contains more than one mpg files.
5. Double click the Joiner.Bat file.

Trick 2

This is an old trick I used a lot.
1. Here, you’ll have to add all the small mpg files into a zip file. This can be done using Winzip.
2. A very important thing to remember here is the files must be zipped without any compression.
3. Arrange the order of the files in the zip.
4. Rename the zip file as an mpg file.
5. That’s it! Click and enjoy the movie.

Trick 3

The third and final method is a superset of the first method.
Here, the command prompt is used to join files. An advantage over the first trick is you can specify the files you want to join.

1. Click Start >> Run.
2. Type cmd and press Enter. This will open the command prompt.
3. In the command prompt, type
copy /b “D:\FirstClip.mpg” + “D:\SecondClip.mpg” “D:\FullMovie.mpg”
where FirstClip.mpg and SecondClip.mpg are the video files to join and FullMovie.mpg is the resultant combined file.
You can specify any number of files to join.
Also notice I have typed the entire file path in the above command.
4. Press enter and the files will be joined.
